About the Indigenous Institutes Consortium (IIC)
The IIC represents the collective and collaborative efforts of its seven Indigenous-owned and operated post-secondary education and training institutes across Ontario. We work collaboratively to improve the outcomes of First Nation learners and strengthen our communities by providing high-quality postsecondary education and training to Indigenous learners.
The IIC is seeking an Executive Assistant to support the Executive Director.
This is a remote work from home role.
Pay Range: $65,000 to $75,000 per year
Role:
- Administrative support to Executive Director to ensure operational efficiency
- Manage all executive level administrative tasks, including organize and maintain calendars, scheduling meetings (virtual and in person), coordinating meetings, travel and accommodation arrangements
- Managing Governance Circle meetings and coordination of attendees, meeting materials, minutes, governance policies, manage term appointments, and maintain record of discussions and decisions
- Develop and maintain records management system to process executive documentation
- Leads the expense reporting process of members and assist in the coordination of budget, manage travel-related expenses, and ongoing review of expenditures
- Organize and take meeting notes, ensuring follow-up action items are completed
- Track and monitor report timelines, and terms of contracts
- Maintain electronic filing system for the organization and member portal
- Handle sensitive and confidential information with discretion
Skills and Qualifications:
- Diploma/degree in Business Administration or a related field
- 6+ years experience as an Executive Assistant
- Exceptional attention to detail
- Excellent communication and interpersonal skills
- Exceptional time management skills
- Intermediate computer and office equipment skills
- Ability to work in fast-paced, high volume environment
- Discretion and trustworthiness: you will often be a party to confidential information
